Data controller

Data we process

We process the data needed to provide the ARCO™ services and, only with your consent, the data for our advertising campaigns:

  • staff account data: name, email, role, language and password (stored only in encrypted form);
  • customer organization data: company name, VAT number, address and country;
  • billing and payment data: collected by Stripe, which handles card data directly; we receive the outcome, the plan and the customer references;
  • service emails (confirmation, activation, notices), sent through an SMTP server;
  • data you enter in the modules (for example bookings, stock, queues, quotes): it is yours and we process it on your behalf;
  • in QUOTA, the documents and texts you upload are sent to Claude, Anthropic's artificial intelligence service, to generate quotes and bills of quantities;
  • technical security data, such as access logs and the IP address;
  • browsing data for advertising campaigns: only if you accept marketing cookies, the Google Ads tag collects cookie identifiers, the pages you visit and the click on the ad you came from.

Why we process it and on what basis

  • performing the contract and creating your account: performance of a contract;
  • invoicing and meeting tax obligations: legal obligation;
  • protecting the services from abuse and malfunctions: legitimate interest;
  • measuring our advertising campaigns with Google Ads: consent, which you can withdraw at any time from "Cookie preferences".

Who we share it with

We rely on these providers, which process data on our behalf unless stated otherwise:

  • Stripe, for payments and billing;
  • Anthropic, only for documents processed in QUOTA;
  • Google (Google Ireland Ltd), for Google Ads, only with your consent to marketing cookies: for this data Google is an independent controller, under its Google Ads Controller-Controller Data Protection Terms;
  • Hostinger (Hostinger International Ltd, Cyprus), for hosting, with servers in Germany (Frankfurt), and for sending service emails.

Transfers outside the European Economic Area

ARCO™ servers and databases are in the European Union. Some providers may process data outside the European Economic Area, with the safeguards required by the GDPR:

  • Stripe: the EU-US Data Privacy Framework, in which Stripe participates, and the European Commission's standard contractual clauses if the former does not apply;
  • Anthropic: the European Commission's standard contractual clauses, included in its data processing agreement;
  • Google: the EU-US Data Privacy Framework for Google Ads data transferred to the United States;
  • Hostinger: the European Commission's standard contractual clauses for any of its subprocessors outside the European Economic Area.

How long we keep it

We keep data only as long as needed:

  • account and organization data: for the duration of the contract; when the account is closed it stays recoverable for 30 days and then we delete it, except what the law requires us to keep;
  • billing data: 10 years, as required by article 2220 of the Italian Civil Code;
  • data you enter in the modules, including QUOTA documents: until you delete it or until the account is closed;
  • documents and texts sent to Anthropic: Anthropic deletes them within 30 days and does not use them to train its models;
  • technical security logs: 12 months at most;
  • Google Ads data: cookies last as long as stated in the cookie policy; the data collected is kept by Google under its privacy policy (policies.google.com/privacy).

Your rights

You can ask for access to your data, rectification, erasure, restriction and portability, and object to the processing. If you believe the processing breaches the law, you can lodge a complaint with the Italian data protection authority (garanteprivacy.it).
